1. Who we are

FileMind is a desktop application for organizing research PDFs. References to "we", "us", or "FileMind" in this policy refer to the FileMind software and its developers.

2. What the desktop app collects

Nothing is sent to our servers. The FileMind desktop application operates entirely on your local machine.

Specifically, the app:

• Reads your PDF files to extract text and metadata
• Queries the Crossref and Semantic Scholar public APIs to resolve DOIs and look up paper metadata — these requests include only the DOI or paper title, not your file paths or personal information
• Optionally runs a local language model via Ollama — this model runs on your machine and no data is transmitted
• Optionally connects to cloud AI APIs (OpenAI, Anthropic) if you configure them — in this case, paper excerpts are sent to those providers subject to their privacy policies
• Stores your search index and library metadata in a local SQLite database on your machine

We do not operate telemetry, analytics, or crash reporting in the desktop app. No usage data leaves your machine.

3. What this website collects

This website (filemind.app) uses Plausible Analytics, a privacy-focused analytics tool. Plausible collects:

• Page views (which URL was visited)
• Referrer (where you came from)
• Country-level location (derived from IP, not stored)
• Browser and OS type

Plausible does not use cookies, does not track individuals across sites, and does not collect IP addresses or personal identifiers. Data is aggregated and anonymous. See plausible.io/privacy for details.

4. Newsletter and email

If you enter your email address on this website (e.g., in the footer newsletter form), your address is stored with our email service provider to send you release updates. You can unsubscribe at any time using the link in any email. We do not sell or share email addresses.

5. Payments

Purchases are handled by LemonSqueezy. When you buy FileMind, your payment details are processed by LemonSqueezy — we do not receive or store your card number. LemonSqueezy may collect personal information as part of the checkout process; see their privacy policy.

We receive your email address from LemonSqueezy to deliver your license key and receipt. We retain this for license support purposes.

6. Your rights

Because the desktop app stores data locally on your machine, you have full control over it. You can delete the app and its data directory at any time. If you would like us to delete your email address from our records, contact us at privacy@filemind.app.

7. Changes to this policy

If we make material changes, we will update the "last updated" date above and post a note in the changelog. Continued use of FileMind after changes constitutes acceptance of the updated policy.
